How to Submit & Order Automated Transcriptions

Step 1: Registration

Start by registering for the SpeechPal Customer Portal at You can also register by going to, and hover your mouse over the account icon at the top right and selecting Start Your Free Trial!

We’ll begin by uploading some audio files. Click the “Upload” icon at the top right to start the order process.

Step 2: Details

Next, you will be prompted to answer some questions about your audio files to ensure you are getting the highest accuracy. Transcription quality is completely dependent on audio quality. If you answer “No” to any of these questions, you can still submit your file, but k eep this information in mind when making your next recording.

Click “Continue” to proceed.

Step 3: Upload

We’ll now upload some audio or video files. Currently, you can upload using drag-and-drop or you can select files from your computer. We will offer web link uploads (Vimeo, Youtube, etc.) and a Dropbox integration soon.

Drag and drop your files into the panel on the left or click “Select files to upload” and choose your files the same way you would for an email attachment. To start, you will receive 2 hours of free transcription to make sure the product works for you. We suggest uploading 2 hours or less in your first transaction so you can review the quality of the transcripts.

Step 4: Upload Complete

Your files will now begin uploading. Please keep in mind that larger file sizes can take longer to upload. Once each files fully uploads, the “Continue” icon will turn green. Click “Continue” to proceed.

Step 5: Submit

Click “Confirm Order” to submit your files for transcription.

Step 6: Receive Transcripts!

Your transcripts will be sent to you via email in a Word doc attachment. Additional formats are available on your SpeechPal Portal. Here, you’ll also be able to access our editor to make adjustments to your SpeechPal transcripts. To learn more about using the SpeechPal editor, please check out this article.

Completing Your Transcription Order for Pre-Uploaded Files

There are several ways to complete an order for files you had previously ordered: shopping cart, checkboxes, and file details.

Shopping Cart:

1. Login to your SpeechPal Customer Portal.

2. If you see a number icon over your shopping cart located at the top right of your screen, you can use this method to complete your order. Click the icon to proceed.

3. Once you have entered your shopping cart, locate your order, and click the Green Arrow to proceed.

4. You will be led to an Order Confirmation Page. Just click “Confirm Order” and you will be all set!

Using the Checkboxes:

1. Login to your SpeechPal Customer Portal.

2. Click the checkboxes to the left of any file you want to submit for transcription. Please note, these files will show a status of “Ready to Transcribe!” on the right.

3. Once you have selected your files, a “Place Order” icon will appear above your list of recordings. Click this icon to proceed.

4. You will be led to an Order Confirmation Page. Just click “Confirm Order” and you will be all set!

In File Details:

1. Login to your SpeechPal Customer Portal.

2. Find your recording you would like to submit for transcription, and click the “…” icon to the far right of the row. Please note, only files with status “Ready to Transcribe!” can be submitted for transcription.

3. Select “View Details” from the menu.

4. Click “Place Order”.

5. You will be led to an Order Confirmation Page. Just click “Confirm Order” and you will be all set!
